Job Description

Leading alternative investment house

to own the administration and sales support, which underpins all activity in the region. This role, working in partnership with the Marketing Assistants in Asia, is responsible for the smooth running of fundraising activities with institutional and intermediary prospects/investors in Asia Pacific, specifically for Australia, Korea and Southeast Asia.

General Administration:
• Internal meeting and calendar management;
• Answer, screen and manage incoming phone calls, faxes and mail;
• Process correspondence and letters;
• Translate simple documents from English into Chinese and vice versa;
• Manage incoming invoices;
• Review, prepare and manage expense reports;
• Manage compliance approval for gifts, meals and entertainment;
• Develop and maintain investors filing database; and
• Perform other administrative duties as needed, such as copying and ordering supplies
Managing the logistics of meetings and travels:
• Coordinate meetings, conference calls and set up group conferences;
• Host roadshows and liaise with their respective Assistants;
• Schedule travel arrangements and prepare itineraries (if needed);
• Arrange visa and boarder entry administration;
• Maintain records in database. E.g. Salesforce;
• Prepare meeting information and marketing collaterals.
Sales support:
• Become the Sales Force super user for the team. Handle data inputs and generate reports. Develop a proactive approach managing the information;
• Maintain contact databases and manage mailing and distribution lists;
• Co-ordinate communication with internal teams upon fund launches;
• Provide administrative support in client onboarding;
• Administer access to the virtual data room;
• Send routine reports to clients (if requested).

Job Requirements

• Minimum 8 years relevant experience supporting executive/senior management within a financial institution;
• Outstanding skills to stay organized, with a strong attention to detail;
• Proven ability to manage tasks under deadlines. Capability to prioritize duties;
• Professional user of Microsoft office applications; knowledge of Salesforce, Pardot and Intralinks would be an advantage; and
• Fluent in English; Korean is an advantage.
